Privacy Policy

This Policy details each type of personal data we collect, how we use it and how we can control it. Any information processed by Datatekin, or in the name of Datatekin, is treated as confidential, stored securely and accessed only by authorised personnel. Datatekin has implemented and maintains appropriate technical, security and organisational measures to protect your personal data against unauthorised or unlawful processing and against any loss, destruction, damage, theft or disclosure.

What do you mean by personal information?

Personal information means details which identify you or could be used to identify you, such as your name, contact details, and that also may include information about how you use our websites and mobile applications.

When does this policy applies

This Privacy Policy applies to personal information about you that we collect, use and otherwise process regarding your relationship with us as a user of our website.

We collect personal information about you whenever you use our website and make a request on the website.

What types of personal information do we collect and retain?

When you use our services (e.g. Newsletters) you will need to provide us with your personal details.

We collect the following categories of personal information:

Information provided on forms. 

  • Subscribe to our Monthly Digital Privacy Newsletter
  • Subscribe to our Blog Posts. 
  • Request a Pré-Audit to your website
  • Contact Request
  • Quiz’s Participation
  • Others

In all of these actions, the user needs to voluntarily provide the required fields that may vary depending on the requested action.

We will retain your information as long as necessary to comply with your request.

We may also collect and process anonymous data that the user voluntarily provides by answering questionnaires and/or feedback forms about their experience on our website.

When you use the www.datatekin.com website, we process information data that your browser automatically sends and information related to your interaction with the website.

We will use previous web usage data stored within the cookie and previous web browsing history to personalise and understand you as a prospect. 

We would be able to understand from your web browsing history that you have visited www.datatekin.com and visited a specific service page a couple of times and press the button “Book free consultation”, but never submited the request. We may use this information to contact you through online advertising, or if possible via email to offer more relevant information about the service.

Information about your device and your location, e.g. if you have been browsing on www.datatekin.com, for example your IP address. (An IP address (i.e. Internet Protocol address) is a numeric code that can act as a unique identifier for your computer or other device – this can be turned off from your device). 

For example, identifying the country from which you are accessing the website which will enable us to provide more relevant content and use an appropriate language.

Do we collect ‘sensitive personal data’?

Certain categories of personal information, such as that about race, ethnicity, religion, health, sexuality or biometric information are special categories of data requiring additional protection under European Union and UK data protection law and is referred to here as “sensitive personal data”. Datatekin does never request these type of personal data.

What do we use your personal information for?

The main purposes for which we use your personal information are:

  • Send you the newsletters you subscribed for.
    • For example, we will need to use your email to send you the newsletter and the blog posts alerts you subscribe for, and address you by your name in these communications.
  • Reply to your contact request or other type of request, such as a Pre-Audit to your website, quiz participation or other.
    • For example, we will need to reply to your request by email using your email address and addressing you by name in these communications.
  • To carry out marketing including online advertising and keep you informed of Datatekin’s products and services.  
    • For example, we may send you information about our products and services by email.
    • We may tailor the content of our websites, emails and other communications to ensure they are as relevant to you as possible.
    • To understand your services preferences and provide information about offers.
    • If you’ve visited specific services pages and Contact/Booking form page, but not booked a free consultation, we may remind you about our services through online advertising, or if possible via email.
    • We may combine/match customer relationship marketing data with a third party (e.g. Google) so both companies can understand behavioural activities such as knowing other sites visited.
  • To undertake targeted online advertising.  
    • For example, we may combine/match identifiers with a third party (e.g. Google) so both companies carry out advertising of Datatekin on our behalf.
  • To send you status updates and service communications.  
    • We may send you communications about the services you have previously contracted, for example, where you experienced some form of issue or problem and we wish to contact you about it proactively in order to resolve it successfully.
  • To improve our websites, products and services.  
    • For example, we may monitor the way that you and other customers use our website so that we can identify ways to improve the website experience.

When will we send you marketing?

When we have your permission we will send you marketing communications from Datatekin. As Datatekin we do sometimes send marketing communications that include a business partners’ technologies related to the services we provide.

We will only allow third parties to send marketing communications to you when and if we have agreed marketing from third parties.

How can you change what marketing communications you receive, how you receive them and unsubscribe?

If you decide you would no longer like to be sent marketing communications, you can change your mind at any time. Each marketing communication we send by email will have an unsubscribe option which will allow you to stop receiving further marketing emails. 

We aim to action requests to stop being sent marketing communications within 10 working days of receiving those requests, but it is possible you will receive some marketing in the period prior to that change being made.

Please note that if you tell us that you do not wish to be sent further marketing communications, you will still receive the communications you subscribe to, like the Monthly Digital Privacy Newsletter or Subscribe to our Blog Posts. You can unsubscribe to each of these services by simply clicking in the link Unsubscribe sent with all Newsletters and Blog Post Alerts.

If you ask us to stop sending marketing communications, please note we will retain your personal information for the purposes of indicating that you do not want to receive marketing communications.

What is our legal base to use your information?

Datatekin will only process your personal information where we have a legal basis to do so. The legal basis will depend on the reason or reasons Datatekin collected and needs to use your information. Under EU and UK data protection laws in almost all cases the legal basis will be:

  • Because you have consented to Datatekin using your information for a particular purpose.
  • Because Datatekin needs to use your personal information to comply with a legal obligation.

If processing of your data is subject to any other laws, then the basis of processing your data may be different to that set out above and may in those circumstances be based on your consent in all cases.

How long do we keep your information?

We will keep your information for as long as we need it for the purpose it is being processed for. For example, your Newsletter subscription we will hold the information for as long as you are subscribed to the newsletter. 

Who do we share your information with?

We may also disclose your personal information to the following third parties for the purpose described here:

  • Third party service providers we are using to provide services that involve data processing, for example, to carry out marketing initiatives. 
  • Third parties, such as the police and regulatory authorities, to protect our rights, property, or the safety of our customers, staff and assets.
  • We may provide usage information (but not your personal details) to other websites so that they know that you have visited our websites (see ’How we use cookies and other methods for the collection of website usage data' above).
  • We may provide usage information including your personal details to marketing agencies to deliver online advertising on websites or social networks.

We do not sell personal information to third parties, and we only allow third parties to send you marketing information where we have your consent to do so.

What countries will your personal information be sent to?

Your personal information may be sent to and stored by us and third parties in countries outside the country in which you are located and outside the European Economic Area, as long as if a non-EU country has an adequate level of data protection.

Under data protection laws, you have rights we need to make you aware of regarding your data.

You have the right to access your information. In some circumstances, you have the right to object to our processing of your data and can ask us to restrict our use of your data and to delete it.  You also have the right to ask us to correct your information if it’s inaccurate and, to ask us to transfer information you have provided, to withdraw permission you have given us to use your information and to ask us not to use automated decision-making which will affect you.

We would like to make you aware that your rights do not always apply in all cases, for example we might not be able to delete your data if we are required to keep it by law. We also might not be able to provide you with information if it would infringe someone else’s rights. We’ll always try to help you with your request and will let you know in our correspondence with you how we will be able to meet your request and explain why if we are unable to do so. 

If you wish to opt-out of marketing, each time we send you a marketing, or newsletter email, we give you the option to unsubscribe, where we can simply click the link Unsubscribe. Keep in mind that you need to unsubscribe individually from each of the services, which are independent. Example: consented Marketing Emails, Subscribed Monthly Privacy Newsletter, Subscribed Blog Alerts, etc). You will need to do this for each email address you have used with us in the past.

How We Fulfil Your Request

To fulfil your request, we will need to see proof of your identity. However, please do not send us original copies of your identification documents. If you are applying on behalf of a child or someone else you are responsible for, you will need to provide proof that you are authorised to act on their behalf. 

Following your request, if you have included all required supporting information within your request, we will get back to you within the one-month timeframe. You can help us to fulfil the request within this timeframe by providing further details or information when submitting a request, although this is not compulsory. If the request is especially complex and requires more time to fulfil, we will communicate this to you.

How will we inform you of changes in this policy?

If we change this Privacy Policy, we will let you know about the changes by publishing the updated version on www.datatekin.com. We are committed to protecting and respecting your privacy and will continue to do so in any future changes we make to this Privacy Policy.  It is strongly recommended to check this page frequently, referring to the date of the last modification listed at the bottom.

This Privacy Policy came into effect on May 15th 2025. This Privacy Policy applies to all information we process about you in connection with your relationship with us as a customer or potential customer.
